PickNik is looking for an experienced, proactive, and tech-savvy Executive Assistant to provide administrative support in a well-organized and timely manner to support our current Chief of Staff.You will directly support her as well as the CEO and CPO to make a substantial and valuable impact to the company’s mission. A wide range of responsibilities are involved that will keep the role dynamic and exciting. Due to the nature of this role, it is necessary that this person can receive constructive feedback well.
Responsibilities:
- Filter, forward, and selectively respond to emails based on document guidelines.
- Manage work and personal calendars, scheduling complicated group meetings, resolving conflicts, and avoiding schedule overload.
- Conserve the CEO’s time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information, and initiating communications.
- Answer incoming company phone calls in a polite and professional manner.
- Setup sales documents for potential client calls, including creating CRM opportunities, doing background research, and scheduling follow up calls.
- Ensure company documents, processes, and spreadsheets are well organized in Google Drive and well formatted.
- Use Slack to communicate with the internal team about initiatives and needs.
- Book travel, appointments, and other logistics.
Requirements:
- 4+ years experience as an Executive/Administrative/Virtual Assistant, preferably in a start-up environment.
- High level verbal and written communications skills.
- Strong attention to detail.
- Must be comfortable operating in a fast-paced environment
- Exemplary planning and time management skills.
- Ability to proofread for grammar and punctuation with a high level of accuracy
- Problem-solving and decision making skills.
- Ability to act as gatekeeper and escalate relevant information to executives as needed.
- Ability to multitask and prioritize daily workload.
- Strong knowledge of Gmail, Google Docs, Google Sheets, or Microsoft equivalents.
- US residency (US Citizen or Permanent Resident).
- Live in the Boulder/Denver area and have the ability to be in-office nearly every day of the week.
